PRODUCTION COORDINATOR – XSIGHT Productions
Job Basics:
Type: Full Time
Schedule: M-F 9:00am – 5:00pm, some weekends or weeknights required

Description:
In addition to being the liaison between all clients and the XSIGHT team, the Production Coordinator is directly responsible for the organization, coordination and execution of all photography and video projects within XSIGHT. This is done by working closely with the sales team, Project Manager and photography and video departments to ensure project specifications are properly communicated to all parties involved and that the client’s needs, vision and expectations are aligned with the project deliverables and customer service they receive. This is accomplished by reviewing all projects and productions that are contracted including weddings, portraits and commercial work and having a clear understanding of all aspects of production to ensure the XSIGHT standard is being met.
Focus:
Your focus in every decision is whether or not you’re clearly communicating production needs to the XSIGHT team and our clients so productions are executed as efficiently as possible, on time, on budget and to XSIGHT’s standards.

Structure:
Your regular responsibilities include:
- Acting as the liaison between all clients across all mediums and the team
- Assisting the Sales Associates and Creative Director with quote/contract creation for larger productions when needed
- Participating in weekly or bi-weekly production/sales meetings to discuss any production items that need to be communicated prior to proposal being sent or after contracts have been signed
- Having a working knowledge of XSIGHT’s pricing & package inclusions for weddings, portraits and commercial work
- Having a working knowledge of all of XSIGHT’s Independent Contractors and what each skill set and pay rate is for each and when/why to use each contractor
- Organizing, scheduling and coordinating all productions contracted through XSIGHT

- Holding pre-event meetings/phone calls with clients as well as team members
- Assigning and scheduling internal team as well as any IC’s needed based on package inclusions, budget and availability
- Conducting pre-event consultations including timeline creation
- Handling all additional correspondence with clients as needed

- Corresponding with crew and relaying any additional notes about the wedding day that is needed

- Planning and leading pre-production meetings and all additional correspondence with clients, crew and independent contractors
- Scheduling all Commercial photo & video crew including Independent Contractors
- Coordination of storyboarding and shot-list creation with the creative team as needed
- Call sheet creation
- Location scouting duties as needed
- Organizing production schedules for crew and clients
- Overseeing productions on-set when needed
- Keeping productions within the set budget
- Updating Project Management tools throughout the production process
- Assigning all job roles to productions including Independent Contractors
- Taking lead on finding and hiring new perspective photo and video shooters
- Coordinating/communicating equipment needs including any rental items needed with department managers and/or Equipment Coordinator
- Ordering/delegating post production items
- Updating clients about the statuses of their projects and products within set production timelines/milestones
- Working closely and respectfully with clients on any production questions and concerns and professionally handles all issues, problems and complaints with immediate attention and communication
- Having a working knowledge of all current productions and the production workflow to ensure accurate and timely project delivery is met
- Overseeing final delivery of all products whether digital or physical
- Reviews products for quality assurance and accurate execution (i.e. albums, prints, etc.) and handles re-ordering of items if needed
- Works with the admin assistant to ensure that there are no open balances prior to any product delivery
- Sends all final projects and products to clients and follows up for quality assurance and client satisfaction
